Facilities Administration Manager

We have an excellent opportunity for a dynamic and experienced leader to join our high-performing Facilities team as our Facilities Administration Manager
About the role:
The main responsibilities of this role will be to lead and manage the Reception and Facilities Administration teams to deliver compliant and efficient customer centric services across our large campus.
Reporting to the Facilities Contracts & Property Manager, this role is responsible for the day-to-day leadership of the Reception and Facilities Administration teams.
You will provide administrative leadership and operational support to the Facilities Management team ensuring efficient coordination of reception, administrative and support services across the campus.
You will lead and coordinate the job allocation and work order system (Maintenance Connection), Purchase order Systems, implementation of Facilities policies and Procedures. You will also drive continuous improvement of administrative systems and provide leadership to direct reports and administrate the Health and Safety system for site contractors including contractor induction and compliance requirements
Additionally, you will assist in reporting the department's KPIs and undertake general administration duties to ensure that the facilities function runs as effectively as possible.
About you:
To be successful in this role you will have previous leadership experience and be required to draw on your excellent communication skills (both written and verbal), strong administration skills, attention to detail and the ability to effectively prioritise and manage competing demands.
To ensure your success in this role, the following skills & experience are preferred:
- Proven leadership experience in a leadership role including coaching, mentoring and supporting direct reports.
- Have a proven background in Facilities administration / office support, preferably in a large organisation
- Excellent communication skills
- Advanced skills in Microsoft Office suite of applications; Outlook, Word, Excel and Internet Explorer.
- Ability to work well under pressure
- Be able to work as a positive member of a team and ensure a collaborative work culture.
- Skilled in producing process documents that streamline workflows and enhance efficiency.
- Proficiency in creative problem-solving.
- Proven ability to develop and nurture positive and productive professional connections.
- Be adaptable and can proactively think on their feet.
